1. JOB DETAILS:

Position Title: Senior Operations Administrator

Reports to: Senior Operations Manager

Division: Property Management

Department: PM Operation


2. POSITION SUMMARY:

The Senior Operations Administrator plays a key role in supporting operational excellence through strong system management, data accuracy, and process automation. The role requires advanced Excel and SAP knowledge, the ability to build and maintain structured operational systems, and clear communication with internal stakeholders. Real estate experience is considered a plus but is not mandatory.

4. KEY RESPONSIBILITIES AND PERFORMANCE STANDARDS:

Key Accountabilities:

 

  1. Manage and maintain operational data, trackers, and reports using Excel and SAP
  2. Support day-to-day operational reporting and ensure timely, reliable data availability
  3. Maintain clear documentation for operational processes and system usage
  4. Act as a reliable point of contact for operational data and system-related queries
  5. Coordinate with other departments to ensure aligned processes and data consistency
  6. Support the implementation of standardized procedures
  7. Improve, and contribute the automation of operational systems and workflows to increase efficiency and accuracy

  • Internal: Operations, Finance, Leasing, Property Management, IT, and Senior Management
  • External: System vendors, service providers, and consultants (as required)

 

6. CONTEXT, WORK ENVIRONMENT AND DECISION-MAKING AUTHORITY:

  • Operates in a structured operational environment with high attention to detail
  • Expected to manage multiple priorities independently while aligning with business needs
  • Authority to recommend and implement operational improvements within agreed guidelines

7. FINANCIAL RESPONSIBILITIES AND ACCOUNTABILITIES:

  • Supports financial and operational accuracy through data integrity and reporting
  • Contributes to cost efficiency by improving processes and reducing manual work
  • No direct budget responsibility

8. SELECTION CRITERIA:

Qualifications and Experience (Essential):

  • 1 - 3 years of experience with professional diploma
  • Strong Excel and SAP expertise
  • Experience in operations administration, reporting, or systems support roles
  • Strong organizational, communication, and problem-solving skills

 

(Desirable):

  • Experience in real estate, property management, or asset-heavy environments
  • Exposure to process automation or continuous improvement initiatives
