1. JOB DETAILS:
Position Title: Planning Assistant
Reports to: Planning Officer
Division: Real Estate
Department: Asset Mgmt Services & Solution
2. POSITION SUMMARY:
The Planning Assistant is responsible for providing entry-level support to the planning function within Asset Mgmt Services & Solution. The role focuses on maintaining planning data, assisting in scheduling tasks, and coordinating with internal teams to ensure timely completion of preventive and corrective maintenance activities. This role provides a foundation in planning and scheduling practices within facilities and asset management.

4. KEY RESPONSIBILITIES AND PERFORMANCE STANDARDS:
Key Accountabilities
- Assist in updating preventive and corrective maintenance schedules under guidance.
- Maintain logs, records, and planning data in CAFM/ERP systems.
- Support preparation of planning reports and performance summaries.
- Follow up on pending tasks and escalate issues to the Planning Supervisor.
- Assist in documenting meeting notes, action trackers, and scheduling updates.
- Provide coordination support between internal teams and outsourced vendors.
- Ensure accuracy and timeliness of planning-related data entries.
- Support compliance with organizational policies, UAE regulations, and HSE requirements.
- Gain exposure to scheduling tools, reporting methods, and planning processes.

6. COMMUNICATIONS & WORKING RELATIONSHIPS:
- Internal: Planning Officer, Planning Engineer, Operations, QA, Contracts & Budgets.
- External: Vendors, contractors, and service providers.
7. CONTEXT, WORK ENVIRONMENT & DECISION-MAKING AUTHORITY:
- Operates under close supervision of the Planning Officer.
- Limited decision-making authority; all scheduling and operational issues are escalated.
- Primary accountability lies in accuracy, timeliness, and support for planning functions.
8. FINANCIAL RESPONSIBILITIES:
- No direct budget authority.
- Supports efficiency by ensuring accurate planning data and reducing delays.
9. SELECTION CRITERIA:
Essential
- Diploma or Bachelor’s degree in Business Administration, Facilities Management, or related field.
- 1–3 years’ experience in administration or planning support (or fresh graduate with relevant academic background).
- Basic knowledge of planning and scheduling principles.
- Proficiency in MS Office and basic ERP/CAFM systems.
Desirable
- Experience in facilities or asset management operations.
- Exposure to project planning software (e.g., MS Project, Primavera).
- Professional certifications in administration or planning support.
