1. JOB DETAILS:

Position Title: Assistant Manager Operations
Reports to: Senior Operations Manager or Head of Planning and Engineering
Division: Real Estate
Department: Asset Mgmt Services & Solution


2. POSITION SUMMARY:

The Assistant Operations Manager is responsible for supporting the Operations Manager in the delivery of facilities and asset management services across assigned properties. The role assists in coordinating outsourced service providers, monitoring service quality, and ensuring compliance with organizational policies, UAE regulations, and health and safety standards. This position is designed as a development pathway toward full operational management responsibilities.


3. JOB DIMENSIONS:

Number of Staff Supervised

  • Direct Reports: None (may oversee supervisors or technicians for specific tasks if assigned)
  • Total Reports: Individual contributor with limited supervisory scope

4. KEY RESPONSIBILITIES AND PERFORMANCE STANDARDS:

Key Accountabilities

  • Assist the Operations Manager in daily operations of facilities and property services.
  • Coordinate with outsourced FM vendors to support SLA/KPI compliance.
  • Conduct routine inspections and report service gaps or compliance issues.
  • Maintain operational logs, records, and performance data for management reporting.
  • Support the resolution of tenant service requests and operational complaints.
  • Monitor and report on operational budgets under guidance of the Operations Manager.
  • Assist in the implementation of sustainability and energy-saving initiatives.
  • Support operational risk assessments and ensure adherence to HSE requirements.
  • Provide administrative and coordination support for operational projects and reports.
  • Gain practical exposure to asset and FM operations as part of career development.

6. COMMUNICATIONS & WORKING RELATIONSHIPS:

  • Internal: Operations Manager, Engineering, Contracts & Budgets, Property Management, Finance.
  • External: FM vendors, service providers, tenants, contractors, regulatory authorities.

7. CONTEXT, WORK ENVIRONMENT & DECISION-MAKING AUTHORITY:

  • Operates under close supervision of the Operations Manager.
  • Provides input and recommendations but decisions are made at manager level.
  • No independent budget authority; contributes to efficiency by monitoring and reporting.

8. FINANCIAL RESPONSIBILITIES:

  • Supports budget tracking and reporting activities.
  • Helps ensure value-for-money service delivery by monitoring vendor performance.

9. SELECTION CRITERIA:

Essential

  • Bachelor’s degree in Facilities Management, Engineering, or Business Administration.
  • 3–5 years’ experience in facilities or operations management, OR entry-level with strong academic qualifications.
  • Basic knowledge of FM operations, vendor management, and HSE requirements.
  • Familiarity with outsourced service provider environments.

Desirable

  • Master’s degree in Facilities Management, Engineering, or MBA.
  • Professional certifications (e.g., IFMA, IOSH, CFM).
  • Experience with CAFM or ERP systems.
