Purpose and Scope of Position (Job Summary)
To support and manage the administrative and operational functions within the Human Resources Department, ensuring all HR processes, employee services, and company procedures are executed efficiently and in a timely manner across Dubai Golf.
1. Main Duties (Job Related Duties)
Leave Management
- Approve leave applications through internal systems.
- Maintain accurate leave trackers and records.
- Monitor leave balances, flight entitlement, passport and visa validity.
- Share leave reports with departments quarterly.
- Notify departments of unutilized leave balances nearing expiry.
- Process and record lieu day applications in SAP.
Ticket Booking
- Coordinate flight bookings for annual leave, emergency leave, new hires, and repatriation.
- Liaise with travel partners for schedule changes or cancellations.
- Maintain and update flight details in tracking systems.
Purchase Requests & SAP Coordination
- Prepare purchase requests for HR-related expenses.
- Process service entries upon purchase order approval.
- Coordinate with Finance for invoice submission and payments.
- Record HR-related transactions in SAP.
Probation Management
- Maintain probation tracking records.
- Coordinate with department heads for confirmation or extension decisions.
- Prepare probation confirmation and extension letters.
- Follow up on pending confirmations and update records.
Bank Account Processes
- Prepare salary and employment letters for bank account opening.
- Coordinate with bank representatives and manage documentation.
- Assist employees with salary transfer processes.
- Track and update bank account details.
Employee Documentation
- Prepare official letters including:
- Salary Certificates
- Employment Certificates
- NOCs
- Visa-related letters
- Prepare employee status change letters (promotions, transfers, increments).
- Maintain accurate documentation and tracking systems.
Performance Management
- Support the full performance management cycle (goal setting, mid-year and annual reviews).
- Coordinate with department heads to ensure timely completion of appraisals.
- Monitor submissions and follow up on pending evaluations.
- Maintain performance records and documentation.
- Assist in identifying training and development needs.
Employee Relations, Grievances & Disciplinary Management
- Handle employee relations matters in a professional, fair, and confidential manner.
- Address and resolve employee grievances, including accommodation-related conflicts.
- Investigate complaints and coordinate with relevant departments for resolution.
- Support disciplinary processes including warnings, investigations, and documentation.
- Maintain accurate records of grievances, disciplinary actions, and outcomes.
- Ensure compliance with company policies and UAE labour regulations.
- Provide guidance to employees and managers on HR policies and best practices.
- Escalate complex cases to the Assistant HR Manager when required.
Month-End Reporting
- Compile HR documentation and reports.
- Prepare monthly employee movement and new joiner reports.
- Maintain proper filing for audit and reference purposes.
Exit & Separation Process
- Prepare resignation acceptance and exit documentation.
- Coordinate clearance procedures and separation formalities.
- Manage visa cancellation process with relevant departments.
- Maintain records of employee separations.
- Conduct and summarize exit interviews.
- Issue experience certificates for leavers.
HR Systems Management
- Manage employee records within HR systems.
- Update data based on employee movements and changes.
- Coordinate with IT for system access and permissions.
- Ensure accuracy of workflows such as leave and appraisals.
Flight Encashment
- Process flight encashment requests based on eligibility.
- Calculate and record encashment details in SAP.
Miscellaneous Responsibilities
- Maintain employee files and HR documentation.
- Coordinate requests for certificates and official documents.
- Track allowances and prepare related letters.
- Maintain disciplinary records and warning letters.
- Assist in preparation of termination letters.
- Support employee engagement activities and company events.
2. Ancillary Duties
- Participate in organizational initiatives and improvement projects.
- Support internal committees and engagement programs.
- Assist in emergency roles such as Fire Marshal or First Aider if required.
3. Quality Responsibilities

- Deliver high standards of service to internal and external stakeholders.
4. IT Security Awareness
- Comply with all information security policies and procedures.
- Support audit requirements when needed.
- Attend IT security awareness sessions.
- Report any information security incidents immediately.

Position Requirements
Minimum Qualifications Required
- Bachelor’s Degree
- Minimum 2 years of experience in a similar HR role
- Proficient in MS Office (Word, Excel, PowerPoint)
- Strong command of the English language
