JOB DESCRIPTION

Responsible For        :                       Hospitality & Leisure – Creative F&B Project Support

 

Purpose:

 

The Project & Creative Executive plays a pivotal role in supporting the planning, coordination, and execution of hospitality and F&B projects, ensuring creative integrity, operational feasibility, and alignment with organizational objectives. The role acts as a bridge between creative vision and execution, coordinating cross-functional teams, maintaining structured documentation, and supporting projects through all development phases.

 

With a strong focus on concept development, design coordination, and strategic delivery, the position ensures that F&B concepts, refurbishments, and new developments are executed on time, within budget, and in line with brand identity and market expectations. Through collaboration, trend awareness, and quality control, the role contributes to delivering distinctive guest experiences and strengthening the organization’s competitive positioning.

 

 

Scope of Position:

 

Concept Development

The Project & Creative Executive contributes to the creation and refinement of F&B concepts from initial inspiration through finalized creative direction. This includes defining positioning, storytelling, guest experience, and ensuring consistency across design, service style, and brand expression.

 

Main Duties:

  • Develop initial concept briefs aligned with brand vision, target market, and business objectives
  • Define creative direction, positioning, and overall guest journey
  • Translate ideas into clear, actionable concepts for design and operational teams
  • Ensure alignment between concept narrative, atmosphere, service style, and visual identity
  • Support refinement of concepts based on stakeholder feedback and feasibility reviews

 

Pitching & General Presentation

The role is responsible for preparing compelling presentations that communicate concepts, strategies, and project updates to internal and external stakeholders. This includes developing visually engaging decks that clearly articulate storytelling and project intent.

 

 

Main Duties:

  • Prepare and deliver project pitches and presentations to stakeholders and partners
  • Create structured, visually appealing presentations using Canva, PowerPoint, and Microsoft 365
  • Develop mood boards, storytelling decks, and concept narratives
  • Adapt messaging and visuals to suit different audiences and project phases
  • Ensure consistency in presentation quality and brand representation

 

Design Follow-ups & Reviews

The Project & Creative Executive supports design coordination by reviewing layouts, drawings, and material selections to ensure creative coherence and alignment with the approved concept. The role provides structured feedback and supports the Project Manager in maintaining design intent.

 

Main Duties:

  • Coordinate with designers, architects, and consultants throughout the design process
  • Review layouts, elevations, finishes, and FF&E for alignment with the concept
  • Ensure design solutions meet creative, operational, and budgetary requirements
  • Provide clear, consolidated feedback incorporating stakeholder and project manager inputs
  • Monitor progress to ensure design intent is maintained through execution

 

Trend & Culture Awareness

The role actively monitors global and local trends within hospitality, lifestyle, and design to inform and refresh concepts. Continuous trend research supports innovation and relevance across all F&B projects.

 

Main Duties:

  • Research global and regional F&B, lifestyle, and design trends
  • Track emerging cultural, social, and consumer behaviors
  • Identify new inspirations, materials, formats, and experiences
  • Integrate relevant trends into concept development and refinement
  • Maintain a continuous inspiration pipeline to keep concepts innovative

 

Project Planning & Coordination

The Project & Creative Executive collaborates closely with Project Managers to support structured planning, coordination, and execution of projects. This ensures timelines, deliverables, and communication are effectively managed across teams.

 

Main Duties:

  • Support development of project plans, timelines, budgets, and resource requirements
  • Schedule and coordinate meetings, site visits, and progress reviews
  • Communicate project objectives, deliverables, and expectations clearly
  • Coordinate with cross-functional teams to ensure milestone adherence
  • Identify and assist in resolving issues impacting timelines or deliverables

 

Strategization of Development

This role supports strategic development by contributing to market-driven F&B concepts and operational models. This includes research, feasibility input, and alignment with brand vision and business goals.

Main Duties:

  • Collaborate with F&B managers, designers, and stakeholders on new concepts
  • Conduct market research and competitor benchmarking
  • Support feasibility studies and business case development
  • Assist in defining service models, design direction, and operational frameworks
  • Ensure concepts align with brand strategy, guest expectations, and market trends

 

Documentation & Reporting

The Project & Creative Executive ensures structured documentation and reporting throughout the project lifecycle to support transparency, accountability, and informed decision-making.

 

Main Duties:

  • Maintain accurate project documentation, reports, and meeting minutes
  • Track progress through structured status updates
  • Prepare executive summaries and presentations for management review
  • Ensure proper documentation archiving for reference and audits
  • Support compliance with internal documentation standards

 

Stakeholder Management

The role acts as a coordination point between internal teams and external partners, ensuring clear communication and alignment throughout the project lifecycle.

 

Main Duties:

  • Serve as a liaison between internal teams, contractors, and vendors
  • Facilitate consistent communication and expectation alignment
  • Address stakeholder inquiries and manage feedback
  • Organize coordination meetings and review sessions
  • Build strong, collaborative stakeholder relationships

 

Budget & Resource Monitoring

The Project & Creative Executive supports financial oversight by tracking expenses and resource allocation to ensure efficiency and budget adherence.

 

Main Duties:

  • Track project expenditures against approved budgets
  • Support preparation of budget updates and forecasts
  • Monitor resource allocation and workload distribution
  • Identify risks related to budget overruns or resource constraints
  • Recommend efficiency improvements and cost-control measures

 

Quality Assurance

The role ensures that all deliverables meet defined quality standards, brand guidelines, and regulatory requirements.

 

Main Duties:

  • Conduct regular site inspections and quality reviews
  • Ensure compliance with organizational and industry standards
  • Review deliverables to confirm alignment with approved benchmarks
  • Address quality issues throughout project execution
  • Support continuous improvement based on feedback and outcomes

 

Risk Management

The Project & Creative Executive supports proactive identification and mitigation of risks throughout the project lifecycle.

 

Main Duties:

  • Identify operational, financial, and delivery risks
  • Propose mitigation strategies and contingency plans
  • Monitor risks and adjust plans as required
  • Escalate critical risks with clear recommendations
  • Participate in post-project evaluations to improve future planning.

 

 

2. Ancillary Duties:

 

In line with the Club’s strive for continuous improvement, you may be requested to participate in various extra activities contributing to individual and organizational growth.

 

Represent the department or a group in various committees. Be trained as a Fire Marshall or First Aider.

 

3. Quality Responsibilities:

 

Standards within the Quality Policy document and Club’s operations Manual. Achievement of quality goals. Compliance with the statement of values. This may include periodical audits and data collection.

 

 

4. IT Security Awareness:

  1. Read, Understand, and comply with all applicable Information Security Policies and Procedures of wasl DG.
  2. Co-operate, co-ordinate and share information with Internal/External Audit teams as appropriate and applicable.
  3. Attend Information Security Awareness sessions conducted by the wasl IT Department.
  4. All Information Security breaches, events, weaknesses, incidents (actual or suspected breaches) shall be immediately reported to the IT Service Desk.

POSITION: F&B PROJECT EXECUTIVE

 

MINIMUM QUALIFICATIONS REQUIRED

SUPPORTIVE SKILLS

Mastering presentation software such as Canva, PowerPoint, or Keynote.

Strong presentation skills with ability to propose appealing look and modern designs.

A Bachelor's degree in Hospitality Management, Gastronomy, Business Administration, or a related field.

Strong project management skills with the ability to plan, execute, and monitor projects effectively.

Minimum of 2-3 years of experience in the F&B industry, with a focus on concept development, project management, or operations.

Excellent communication, negotiation, and interpersonal skills to collaborate with internal teams and external partners.

Proven experience in creating, developing, and launching successful F&B concepts within a hospitality or restaurant environment.

Strong problem-solving and decision-making skills, with a proactive approach to overcoming challenges.

In-depth knowledge of market trends, customer preferences, and the competitive landscape in the F&B industry.

A passion for food, innovation, and staying updated on industry trends and emerging concepts.

Familiarity with design tools or working with designers to visualize concepts (e.g., Adobe Creative Suite) is advantageous.

Ability to work under pressure and meet tight deadlines.
